Welcome to The Flooring Outlet!

These terms and conditions outline the rules and regulations for the use of White Rose Group Ltd t/a The Flooring Outlet’s Website, located at theflooringoutlet.co.uk.

By accessing this website or placing an order in-store or through any other method (Facebook, Website, Instagram etc.), we assume you accept these terms and conditions. Do not continue to use The Flooring Outlet if you do not agree to take all of the terms and conditions stated on this page.

The following terminology applies to these Terms and Conditions, Privacy Statement and Disclaimer Notice and all Agreements: “Client”, “You” and “Your” refers to you, the person log on this website and compliant to the Company’s terms and conditions. “The Company”, “Ourselves”, “We”, “Our” and “Us”, refers to our Company. “Party”, “Parties”, or “Us”, refers to both the Client and ourselves. All terms refer to the offer, acceptance and consideration of payment necessary to undertake the process of our assistance to the Client in the most appropriate manner for the express purpose of meeting the Client’s needs in respect of provision of the Company’s stated services, in accordance with and subject to, prevailing law of United Kingdom. Any use of the above terminology or other words in the singular, plural, capitalization and/or he/she or they, are taken as interchangeable and therefore as referring to same.

Conditions of Sale

1. Checking Your Order

Please check your flooring is the correct quality, size and colour as on invoice, as once you have opened your product or attempted installation, you are the owner and the company can not be held responsible for any exchanges.

2. Delivery

If you are not in on the day specified for delivery a further charge will be incurred for re-delivery.

3. Deposits

i) Once a deposit has been left, the condition of balance to be paid will be agreed and written on invoice as at ‘Method of payment’. If the conditions agreed are not fulfilled the deposit will be lost and the product will be resold

ii) Once a deposit has been left, this is not refundable unless the company is unable to supply goods specified on receipt.

4. Measurements

We request that you provide accurate measurements to your room(s) to be filled. If the customers dimension are incorrect, and the carpet does not fit room(s) specified the company will not be responsible to exchange your order.

We only offer a free measuring service within our local area and may refuse to provide this service or request a deposit at any time. We will only carry out his service where the product is to be supplied by The Flooring Outlet. On free measure and estimates, rooms must be in a suitable state to be measured, with clear access and enough space to take the required measurements.

Any measurements taken will not be provided to you until the point of ordering. If you do request to receive the measurements without placing an order, we may charge a fee to give these to you. This is worked out on a case-by-case basis.

If you are unable to be reached on the day of your free measure & estimate, or are not home when we arrive, we may refuse to offer the service for free again and you may be required to pay an initial deposit. Deposits are non-refundable, however any deposit made will be taken from your material cost if/when you place an order with us.

If you have asked The Flooring Outlet to visit your home and check the suitability of a particular product, the measure & estimate is limited to checking what is physically visible without lifting existing floor coverings. If you would like the entire subfloor checked, it is your responsibility to lift the existing floorcoverings prior to the visit. Following inspection, we will advise of any works that may be necessary prior to the installation of your product. You can then decide whether you wish for a fitter recommended by us to carry out any subfloor preparation under a separate agreement between you and the fitter, or whether you wish to arrange to carry out any appropriate works yourself.

If you elect to carry out any subfloor preparation works yourself, it is your responsibility to ensure that the works are completed to an appropriate standard in accordance with the manufacturer’s instructions for the product(s) used. You will need to provide the store arranging the fitting with evidence that this has been completed prior to the installation date agreed.

5. Colour Matching

Please note, we are unable to guarantee an exact colour match where different widths of carpet are supplied and/or used.

6. Shading and Pile Pressure

All carpets, especially plain grounds, are liable after they have been in use for some time to shading, i.e, to show light and dark patches. This is due to uneven pressing of the surface by treading, light and delicately shaded carpets are liable to become soiled with wear and it may appear the colours have faded. Both tendencies are inherent in all pile fabrics and we cannot therefore accept any responsibility for complaints arising from either of these causes.

7. Sizes

All dimensions are in accordance with British Standards 3655 (1974) + 1.25% in width and/ or length.

8. Title

Title of all goods remains the property of the company until full settlement is received by the company.

9. Order Changes

We will accommodate order changes to the best of our ability. If you wish to change your order, please inform us no later than three working days before your order is due to be delivered. Items such as carpet, vinyl and artificial grass are cut to size and therefore unable to be changed once cut. If you do wish to change, we may charge you a restocking fee or proceed with delivery of the order as placed and outlined in your invoice. 

10. Returns

  • Any returns must be made within 7 days of receiving your order
  • Any returns must be made by the customer to our shop location. We are unable to collect any returns from your property or project
  • We do not accept returns for any non-stocked products (i.e. “special orders”) that have been ordered in specially for your project
  • We do not accept any returns on Carpets, Vinyl or Artificial Grass as they are cut to size
  • At manager’s discretion, cut-to-size orders of stocked items may be returned, and a 50% restocking fee will be applicable
  • We will accept returns on any stocked items such as laminate or LVT, if they are in full unopened boxes
  • For orders placed in-store for non cut-to-size products (i.e. laminate or LVT), you will receive a credit note for the value of the returned products. Refunds will only be given at the manager’s discretion, and a 25% restocking fee may apply
  • The above does not effect your statutory rights

11. Refer a Friend Promotion

Our refer a friend promotion gives customers of The Flooring Outlet the opportunity to earn up to £30 in Amazon vouchers for every friend they refer to us, dependent on how much their friend or family member spends, depends on the tier of their reward. The reward tiers are as follows:

  • £100 Spend: £10 Amazon Voucher
  • £250 Spend: £20 Amazon Voucher
  • £500+ Spend: £30 Amazon Voucher

If the customer’s order comes to less than £100, no Amazon reward will be given, but we will add some level of discount to your account the next time you place an order with us within 12 months of the referred friend’s order. 

Amazon vouchers will be sent at the beginning of every month for the month prior. Rewards are qualified and approved once the fitting date or delivery date, plus returns period, has passed.

The customer’s referred friend will receive up to 10% off their first order with The Flooring Outlet. This offer is discretionary and based on the product chosen at time of ordering. This is based on whether the product is in-stock or must be ordered in specially for the customer. Discount will always be at least 5% of total order value. 

Discount does not include fitting charges. 

Strictly new customers are eligible for discount or will qualify to earn the customer an Amazon reward.

Amazon vouchers may be swapped for store credit if you wish. You must contact us directly to arrange this. Once Amazon vouchers have been sent, they cannot be swapped for store credit. 

All decisions made by Management regarding rewards and discounts are final.

Promotion end date is to be confirmed; when the promotion is given an end date, we will contact all customers who have allowed us to contact them for marketing preferences to inform them. 

Flooring Installation & Arrangement Services

The Flooring Outlet does not provide any fitting service for any carpet or flooring whatsoever. 

Independent Fitting Services

  • All carpet and flooring fitting services are carried out solely by independent contractors.
  • The Flooring Outlet may, at your request, introduce you to an independent fitter for you to discuss and book your project directly with them. 
  • The Flooring Outlet may, at your request, assist in arranging your fitting with an independent contractor. We do so solely as your agent. Any such service constitutes a separate and distinct contract between you and the fitter and is not part of your purchase contract with The Flooring Outlet.

Arrangement and Agent Role

When arranging a fitting on your behalf, The Flooring Outlet may:

  • Introduce an independent fitter.
  • Facilitate delivery and pre-cutting of materials for efficient installation.
  • Monitor fitting standards.
  • Assist in resolving fitting-related complaints directly with the fitter.

By requesting such an arrangement, you authorise The Flooring Outlet to share your relevant personal data such as address and contact details with the appointed sub-contractor. 

We arrange fitting on your behalf solely as your agent, and your contract for fitting does not form any part of your contract with The Flooring Outlet. All aspects of installation are subject to terms of a separate contract between you and the sub-contracted fitter. 

When using our fitting arrangement service, you will be provided with the contact details of the nominated sub-contracted fitter. We strongly advise all customers to contact the fitter directly and at the earliest possible opportunity, to confirm the terms of your contract directly with them. 

Arranging Your Own Fitting

If you organise your own installation, please let us know when your goods are to be collected by you or the fitter. We request at least 72 hours’ notice for the collection of goods so that we can have your carpets cut / goods ready for collection on the required day. Please make sure that the fitter has your full details prior to arriving at the warehouse.

Goods are generally collected from our main warehouse in Dewsbury, but can also be arranged to be collected from other branches. Please confirm with the store where goods are required to be collected from. Please note that the warehouse is open for collections 8:30am to 4pm Monday to Friday only. Goods must be collected by 4pm at the latest.

We retain full responsibility for the products that The Flooring Outlet supplies, including product warranties. Please note that when arranging your own fitting, The Flooring Outlet holds no responsibility for fitting faults. This includes if you have arranged your fitting by using the independent list of local fitters The Flooring Outlet provides, or if you have used our fitting arrangement service. Any product faults remain the responsibility of The Flooring Outlet; any genuine complaints with the product will be dealt with in good faith, and must be made within 48 hours of installation. 

List of Local Fitters

You are welcome to arrange your own fitter/fitting and negotiate a price with them for installation. The Flooring Outlet maintains a list of independent carpet, vinyl, and laminate flooring fitters operating within the Yorkshire area. This list is available in store, is non-exhaustive, and intended for customer convenience only.

Introduction to a Fitter

Upon your request, we may introduce a flooring fitter to you. Following such introduction, it is between you and such fitter to agree the terms and conditions (including price) for the fitting services. You are always free to engage a fitter of your choice. There are other fitters available in the local area other than the fitters listed in store. Lists of flooring fitters are available at the National Institute of Carpet and Floor layers website https://nicfltd.org.uk, by emailing info@nicfltd.org.uk or telephoning 0115 958 3077

Fitting Arrangement Service Terms and Conditions

  1. The Flooring Outlet does not provide carpet fitting or flooring installation services, and this forms no part of any contract between you and the Company. 
  2. Introduction to Fitter. Where The Flooring Outlet has been asked to make the arrangements for your flooring to be fitted, we agree to act as your agent for this service. This includes; introduction to an independent flooring fitting specialist and arranging the installation of your purchase under a separate contractual agreement between you and them. It also includes monitoring fitting standards, arranging a pre-cut service to aid an efficient and speedy ‘at home installation’, and on the rare occasion of a complaint being raised regarding the fitting, The Flooring Outlet will manage the complaint between yourself and the fitter.
  3. To make the introduction of a fitter if requested, you instruct us to communicate your personal details, including a copy of your invoice with address and contact details, to the fitter(s) to be introduced.
  4. In all cases where The Flooring Outlet arranges fitting on your behalf, you will receive the contact details of the independent contractor. You will be free to contact them directly about your project and request references. 
  5. We maintain responsibility for the products The Flooring Outlet supplies, and will act as intermediary between you and the deliverer/installer should any issues arise as a result of installation made by a sub-contracted installer if we have arranged installation on your behalf. 
  6. Delivery and Installation: Please check that the goods you received are the ones you ordered. Check they are for the correct colour, size, and options selected, and that they are free from apparent faults or damage at the time of and before installation. If on inspection you have any doubts, please contact the store in which you made your purchase.
  7. All goods must be fully paid for before installation, delivery or collection can be made. If you are arranging for the installation via your own 3rd party fitter, please ensure sufficient time is allowed for both the inspection of the goods to take place as well as any acclimatisation needs as per the manufacturer’s instructions.
  8. In all cases, genuine complaints will be deaIt with in good faith, but your rights may be adversely affected if you do not contact us as soon as possible. All delivery and fitting dates are estimates and are given in good faith. Exact arrival and completion times cannot be guaranteed due to the nature of the work.
  9. We have agreed with the independent contractors we introduce, the basis for estimating the price of the fitting services, including surcharges (if any). The fitting estimate for the fitting service is made according to these agreements.  It remains your responsibility to pay the fitter in accordance with your contract with them.
  10. Carpet and Flooring fitters introduced by us undertake to carry out their work with reasonable skill and care, but on rare occasions home decor may be marked or scuffed during the fitting. New paintwork and wallpaper are especially vulnerable and should be allowed to dry fully. A minimum of 72 hours is recommended and when high gloss paint has been used, please allow 7 days. Neither we nor any fitter undertakes to carry out any redecoration, except where damage has been caused by that person’s negligence. It is the responsibility of the customer to make the fitter aware of any known hazards or issues which may affect their ability to complete the installation.
  11. Fitting estimates and other surcharges are not held out by us or made by us for and on behalf of the fitter and are in reliance on the information you have provided to us. Subject to the foregoing, the fitters we introduce have agreed with us that they will offer the fitting service to you under their own terms and conditions. For the avoidance of doubt, those terms and conditions are not part of any contract between you and The Flooring Outlet, but may form part of a contract between you and the fitter. We do not hold these terms and conditions out on behalf of the fitter. It is your responsibility to agree terms and conditions with the fitter which you consider to be satisfactory including as to price and payment.
  12. The fitter we introduce is considered by the Company to be properly qualified to fit your floor covering. However, we give no promise or guarantee with respect to and accept no responsibility for the quality of the fitting service. We accept no responsibility for any damage or loss you might suffer in connection with the fitter’s performance of his contract with you. If you are not satisfied with the fitting service your only recourse is to the fitter under your contract with him. When using our fitting arrangement service, we will act as an intermediary for any issues that may occur with your installation. All fitters that we introduce have their own Public Liability Insurance

Payments for Fitting

Fitting is chargeable and payable to the fitter on a separate contract from your contract with The Flooring Outlet, and must be paid directly to the fitter on the day of installation.

Where carpets are to be fitted in the haII and stairs an additional charge may be made by the fitter to reflect the additional fitting work involved in these areas. These charges are payable to the contractor. The fees quoted on the store invoice are for the goods shown on the order only.

Additional Services by Subcontractors

  1. Doors, kitchen kickboards and plinths may need to be trimmed to allow sufficient clearance. This is not considered to be part of the fitting work unless this was specifically agreed in advance. Fitters may need to remove doors to facilitate fitting and where necessary, leave them ready for you or your appointed carpenter to carry out the trimming and rehanging at a later date. Some doors, such as fire doors, may not be suitable for modification or need to be carried out by a door easing specialist.
  2. Fitting estimates provided by The Flooring Outlet are based on rooms being clear of furniture and old flooring being uplifted by you prior to the installation date, unless otherwise specified or agreed. Please ensure you check with the sub-contracted installer what is covered in your price and terms and conditions with them.
  3. Some subcontracted installers may charge late cancellation fees. Please discuss this directly with your installer to confirm the terms and conditions of your contract with them.
